Work Days Patterns | Setting up work days patterns

Each work days pattern defines the working week for one or more team members. Sage People HCM uses work days patterns for absence management, Sage People Time uses work days patterns in conjunction with overtime conditions to establish when overtime is due on a timesheet.

Work days patterns can be assigned to:

  • A policy to apply to all team members using that policy
  • Individual team members

Review standard work days patterns

Each new Sage People org comes with a set of standard work days patterns for a number of countries. You can use these patterns as-is or use them as a basis for additional work days patterns.

To view the standard patterns:

  1. Go to the Work Days Patterns tab.

  2. Select the All list view.

If none of the standard work days patterns meets your needs, you can create new patterns from scratch.

Create a work days pattern

  1. Select the Work Days Patterns tab.

    Sage People displays the Work Days Patterns Home page.

  2. Select New.

  3. In Work Days Pattern enter a name for the pattern.

  4. In the Days Worked section check the boxes for the days to be worked by team members using this pattern.

  5. Select:

    • Save to save the Pattern and display the Work Days Pattern detail page.
    • Save & New to save the pattern and re-display the New Work Days Pattern page for you to enter another pattern.
    • Cancel to discard your changes.

Create a work days holiday

A work days holiday is a public holiday associated with a work days pattern. You can define work days holidays as single, non-recurring days, or days recurring on a regular basis. A work days holiday always applies to the whole day, you cannot set it up as a half day or partial day. You can view work days holidays associated with a work days pattern on the Work Days Holidays related list.

  1. On a Work Days Pattern detail page, select the Related tab to view the Work Days Holidays related list

  2. Select New.

  3. Complete the fields as follows:

    Field Description
    Work Days Pattern

    The name of the Work Days Pattern hosting this holiday. Automatically completed by Sage People with the name of the pattern you selected earlier.

    To change to another pattern select Work Days Pattern lookup, find and select the pattern you want.

    Holiday Name The name given to the day you want to set up as a holiday for this pattern.
    Date

    The date of the work days holiday.

    For a recurring holiday, enter the date of the next occurrence and use the following fields to define the pattern of recurrence.

    Recurring

    Checkbox. If checked, this holiday recurs on a regular pattern.

    If the holiday's recurrence is based on a lunar calendar and the Gregorian calendar dates change each year, set each year's instance of the holiday as non-recurring.

    Basis

    Picklist. Active when Recurring is checked. For recurring holidays, the basis on which the holiday recurs, such as the day of the week, or the day of the month.

    Select the picklist and choose from:

    • Day of Week
    • Day of Month
    • Western Easter
    • Orthodox Easter
    Day

    Picklist. Active when Basis is Day of Week or Day of Month. Values displayed depend on the Basis selected. For recurring holidays recurring on:

    • The same day of the working week (Basis = Day of Week). For example, the first Monday in June, the penultimate Wednesday in May:

      • Select the picklist and choose the 1st through 5th, Penultimate, or Last. These picklist values are fixed; translated values can be supplied for local language implementations.
    • The same day in the month (Basis = Day of Month). For example 15 September:

      • Select the picklist and choose from 1 through 31. These picklist values are fixed; translated values can be supplied for local language implementations.
    Weekday

    Picklist. Active when Basis is Day of Week, Western Easter, or Orthodox Easter. For recurring holidays recurring on the same weekday.

    Select the picklist and choose from Sunday to Saturday.

    These picklist values are fixed; translated values can be supplied for local language implementations.

    Month

    Picklist. Active when Basis is Day of Week or Day of Month. For recurring holidays recurring on the same day of the month.

    Select the picklist and choose the month.

    These picklist values are fixed; translated values can be supplied for local language implementations.

    Non Workday Action

    The action to take to move this holiday if it falls on a day already designated as a non workday, such as a weekend.

    Select the picklist and choose from:

    • None

      The holiday is not reassigned.

    • Previous Workday

      The holiday is reassigned to the nearest preceding workday.

    • Nearest Workday

      The holiday is reassigned to the nearest previous or next workday. For example, if December 25 is on a Sunday, the nearest workday is Monday, but if December 26 is also a work days holiday, the nearest workday is the previous Friday, December 23.

    • Next Workday

      The holiday is reassigned to the nearest following workday.

  4. Select:

    • Save to return to the Work Days Pattern Detail page
    • Save & New to save this work days holiday and define another.
    • Cancel to discard your changes.

Data load work days holidays

You can use a data loader to add work days holidays. This is particularly useful for public holidays with dates that change from one year to the next. Templates to help with setting up the data load are available for implementers.

If the public holiday is ad-hoc or recurs with changing dates, you need to import values for the following fields: 

  • Work Days Pattern

  • Holiday Name

  • Date

If the public holiday recurs, you also need to supply information for recurrence. Make sure you use the standard picklist values.

Tip

When data loading, the value of Non Workday Action cannot be None. If the work days holiday has no non workday action, leave the value blank.
