How can I collect information using forms?

Forms are a powerful feature of Sage People that enable you to capture information from team members, candidates, or external contacts. Forms can be displayed to users in WX or Recruit, or emailed to recipients.

Form responses are saved to the form object and can be viewed and reported on in the HR manager portal. Information can be written back to HCM or Recruit data objects to update existing records, using data links that enable forms to update team member, applicant, or reference information automatically.

Forms are created in the HR Manager portal using the following tabs:

  • HCM Form Definition: used for HCM forms.

  • Form Definition: used for Recruit forms.

What are People Groups and how do I use them?

People Groups are a way to create groups of team members with shared interests, whether professional or social. Group members do not need any formal reporting or organizational relationship and can be drawn from any part of the business. Team members and managers can search and join groups in WX using the People Groups process.

How can I load data into Sage People?

Every new customer has a range of data to load into the Sage People system, such as current and historical team member data, salaries, beneficiaries and dependents, and job histories. This data can be held in an existing system, in spreadsheets, or in a range of formats.

The Sage People Data Loader enables you to automate much of the data loading process to format and import this existing data into your Sage People system, enables uploads to be repeated, and provides integrated reporting on the progress of each data load and access to a full history of data loads.

Data must be supplied in a standard format, and must follow a set of rules to ensure error-free data loading.

How do I connect Sage People to my payroll solution using Payflow?

Sage People Payflow is a multi-purpose solution for managing data flows between Sage People and other systems, typically for data related to payroll, compensation, and benefits.

Payflow provides the link between Sage People and other systems including:

  • Payroll agencies
  • Benefit providers
  • Other HR and ERP systems.

How do I set up Docusign to connect to Sage People?

Sage People offers full integration with DocuSign forms, enabling:

  • Fields to be mapped for data import:

    • From DocuSign templates into Sage People.

    • From Sage People into DocuSign templates.

  • Use of Sage People defined email addresses for routing forms to Team Members.

  • DocuSign forms to be triggered by Action Events.

Typical uses include paperless onboarding starting with pdf form templates, such as I-9 and W-4, emailed to new hires for online completion, e-signature, and submission. Forms can be routed in line with requirements before final completion and data extraction. Data can be automatically extracted from Sage People and used to pre-populate fields in the DocuSign form, and then extracted from the completed form and used to populate the required fields in Sage People.

Note

You must have a dedicated DocuSign license to use with your Sage People org. The cost of your DocuSign license is not included in the Sage People integration.

How do I set up employment change requests?

Employment change requests, or HR requests, are used by managers to request changes to a team member's employment details, such as changes to salary, bonus, hours worked, or job changes and promotions. Each request typically follows an approval process before reaching HR for finalizing. An employment change request is sometimes known as a Personnel Action Form (PAF).

Sage People has two options for setting up HR requests:

  • People Management Workflow: an enhanced user interface for creating and managing HR requests. People Management Workflow supports HR requests for cross reporting managers, and for direct reports of direct reports.

  • Legacy HR requests: the legacy HR request feature has been superseded by People Management Workflow, but is still available for you to use.

Use the policy option to set whether you use legacy HR requests or People Management Workflow. Both types of request can be used to update the same Salesforce object.

Can I make reports available in WX?

WX Reports are used to deliver granular reporting information for team members and managers on many aspects of your organization, using a set of standard Salesforce reporting features through an enhanced charting interface. WX Reports are made available in Sage People WX using the Reporting process. You can make reports available by policy, or to individual team members, with or without their teams.
