Delegated access for assistants
WX delegated access is supported through the HR Manager Portal:
-
The Roles tab.
Roles are used to map assistants to managers for defined processes.
You can add the Roles tab to your display by using the Customize your nav bar edit pencil at the right of your tabs.
-
Assistant To and Assisted By Related Lists displayed on the Team Member detail page.
You can add these Related Lists to your display selecting Setup, then Edit Object. On the object details page, select Page Layouts, and then select the layout to edit.
Assistants are granted access to the defined manager's view of the processes included in the Role.
WX processes supporting delegated access for assistants include:
-
HR Requests
-
Time Off
-
Timesheets
Guidelines:
-
By default, to set up WX delegated access you need Administrator level access to the HR Manager Portal.
-
Users with HR Manager level access can define assistant assignments but they cannot define the processes for a role.
-
You can restrict each role to a single process, for example, Time Off. Restricting the number of processes makes it easier to manage role assignment, for example:
-
Use one C-level Time Off Assistant role to map all C-level managers to one or more Executive Assistants for delegating absence approval when managers are not available.
-
Use one South Africa PAF Assistant role to map all employment change requests originating from regional managers to a single senior assistant during a reorganization.
-
-
Setting up delegated access for the Time Off process gives the assistant access to the Time Off process for all the manager's direct reports. A setting on the Time package configuration package determines if the Assistant can approve their own time off requests.
-
Delegated access only applies to WX actions. If you have approval workflows where you want to delegate approval notifications to others, you need to configure it in the workflow.
To set up delegated access:
-
Each role enables you to map managers to assistants for defined processes.
