Configure page options

Go to Setup, and in Quick Find enter installed and select Installed Packages from the search results. On the list of packages, select Configure next to the HCM package.

Setting Description
HR Request Finalize Time

Picklist and Run Now button. The daily time on the 24 hour clock when employment change requests (HR Requests) are finalized. Finalization runs as a batch at the time you select. Before a request can be finalized, it must:

  • Have an Effective Date equal to today or in the past.
  • Have a Status equal to Approved.

Select the picklist and choose the hour of the day you want the finalization batch to run.

To queue a finalization batch immediately, without waiting for the next scheduled batch run time, select Run Now.

To configure the number of requests processed per Finalize Batch – only used if you are experiencing timeout errors when processing large numbers of requests at one time - use the HR Requests Per Finalize Batch setting in the HR Requests section of the HCM Configure page.

HR Requests Per Finalize Batch

Number, maximum value = 200, default value = 200.

The number of HR Requests to process in each Finalize batch, defaults to 200. A batch size of 200 is likely to complete more quickly, but is also more likely lead to timeout errors, and can make it more complicated to identify where the issue is if the Finalize batch fails. If the batch fails, none of the requests included in it is finalized. If the batch size is 1, processing all the requests pending finalization can take longer than processing a larger batch size, but it is easier to identify an issue if the batch fails.

If you need to configure the batch size enter a value from 1 to less than 200, otherwise leave blank.

Option Description

Use People Management Workflow

Checkbox. If checked and an HR Requests WX Process is active, People Management Workflow is available for managers in WX in the Team section.

If unchecked, managers cannot access People Management Workflow in the Team section in WX.

Field sets

With People Management Workflow, the fields in an employment change request are controlled by HR Request Types, Field Sets you create in the HR Request object and link to each HR Request Type, and the Additional Information Field Set in the HR Request object.

People Management Workflow does not use the HR Request or WX HR Request field sets in Team Member, Employment Record, Salary, or Bonus objects. However, these field sets are still used by the WX Actions page to display the request details for approvers. Encourage WX users in your organization to use the Requires Approval section in People Management Workflow to approve requests, rather than approving on the WX Actions page.

  • For People Management Workflow, use this field set to display the fields common to all HR Request Types, such as the Rationale.

Bonus Request (Discretionary)

In new Sage People orgs, fields for the Bonus Request (Discretionary) HR Request Type. As standard, includes the following fields:

  • Bonus Amount

  • Currency

  • Bonus Reason

  • Notes

  • Paid Date

Combo Fields

Text fields displayed as combo boxes in People Management Workflow.

Text fields can be referenced from the Bonus, Employment Record, Salary, and Team Member objects

Contract/Status Change In new Sage People orgs, fields for the Contract/Status Change HR Request Type.

As standard, includes the following fields:

  • New Basis

  • Hours Worked

  • Contract End Date

Job Change/Promotion In new Sage People orgs, fields for the Job Change/Promotion HR Request Type.

As standard, includes the following fields:

  • Job Title

  • Job

  • Salary Amount

  • New Manager

  • Work Location

  • Division Name

  • Business Name

  • Team Name

  • Function Name

  • Cost Code Value

Probation Outcome In new Sage People orgs, fields for the Probation Outcome HR Request Type.

As standard, includes the following fields:

  • Probation Status

  • Probation End Date

Requires Approval Table

Additional fields displayed for each request in the Requires Approval section on the summary page in People Management Workflow.

By default, the Team Member name, the items to change, the request status, and the request submission date are displayed. If you want to display other fields, such as the Effective Date, add them to this field set. The fields you are add are displayed after the default fields.

Salary Change (Discretionary)

In new Sage People orgs, fields for the Salary Change (Discretionary) HR Request Type. As standard, includes the following fields:

  • Salary Amount

  • Change Reason

Team Summary Table

Additional fields displayed in the My pending requests and Approved, finalized and rejected sections on the summary page in People Management Workflow.

By default, the Team Member name, items to change, request status and the request submission date are always displayed. If you want to display other fields, such as Effective Date, add them to this field set. The fields you add are displayed after the default fields.

Termination/Leaver In new Sage People orgs, fields for the Termination/Leaver HR Request Type.

As standard, includes the following fields:

  • Employment End Date

  • Last Working Date

  • Leaver Category

  • Reason For Leaving

  • Resignation Date

  • Would Rehire

Picklists

For salary related employment change requests, on finalization a value selected from this picklist is copied to the Salary object Change Reason field if that picklist contains a matching value.

To edit these default picklist values:

  1. Go to Setup and select the Object Manager tab.

  2. Select object, select the picklist field, go to the Values related list.

Default picklist values for the Reason field, HR Request object: 

  • Promotion
