People Management Workflow | Set up or review approval process

People Management Workflow checks for the presence of an approval process before creating the employment change requests, so if your org does not have one, requests are not created.

You need to review any existing approval process, or if your org does not already have one, configure an approval process for employment change requests. People Management Workflow can use an existing approval process for legacy HR Requests, but you should review the process and its conditions to decide if a separate approval process is required, especially if you use reasons from the HR Request object in your conditions, or want to use HR request types in the entry criteria.

New Sage People orgs are delivered typically delivered with an approval process as standard.

The standard approval process is outlined below. Make sure you review the details and update the process before testing.

  1. Manager’s manager (One Up Manager).
  2. HR Department approver.

To review and update the approval process:

  1. Go to Setup, and in Quick Find enter approval and select Approval Processes from the search results.

  2. For Manage Approval Processes For: select HR Request.

  3. Select the approval process you want to review by selecting the name of the process.

  4. Review the details. If you want to make changes, select Edit and make the changes.

    Make sure you deactivate the approval process before adding or removing approval steps. If the approval process is currently in use for requests in progress, clone the process, make changes to the clone, and then activate the clone and deactivate the original approval process.

    Tip

    Ensure the public group All Internal Users is included in the initial submitters.

Email notifications

The standard approval process sends an email to notify a manager of a request to approve using the following email template: 

  • SF - HR Request Approval Notification

The standard approval process sends the following standard email alerts:

  • HR Request Approved - to Manager

  • HR Request Rejected - to Manager

A standard action event is configured for the HR Request:Finalize event, which uses a standard email template:
