People Management Workflow | Set up combo box support

Sage People Y23.3 makes it possible to use text fields as closed combo boxes in People Management Workflow. Closed combo boxes enable users to search for previously entered values and select them to keep values consistent. In WX, these fields look and work the same way as picklist fields and lookup fields.

Note

At the time of Sage People Y23.3 release, text fields are not available to select for adding to the Combo Fields field set directly in some orgs, but you can create an alternative field set and use fieldset mapping to override the Combo Fields field set.

The text fields must be related to one of these objects:

  • Employment Record

  • Team Member

  • Bonus

  • Salary

To define a new text field as a combo box:

  1. Go to SetupObject Manager.

  2. In the list of Custom Objects, select the object—Employment Record, Team Member, Bonus, and Salary—to host the new field.

  3. Select Fields & Relationships, and then select New.

  4. Create the new field with the following settings:

    Setting What to enter
    Data Type Select Text
    Field Label The label you want to display for the field in the People Management Workflow.
    Field Name Automatically created. Leave unchanged unless you have a good reason for changing it.
    Field-Level Security for Profile Set the field permissions to make the field Visible, Read-Only, or hidden - by unchecking both Visible and Read-Only checkboxes - for each of the listed Profiles.
    Page Layout and Related List Set as required to define the visibility you want.
  5. Select Save to create the new field.

  6. Go to SetupObject Manager, and select the HR Request object.

  7. Select Fields & Relationships, and then select New.

  8. Create the new field with the following settings:

    Setting What to enter
    Data Type Select Text
    Field Label Enter the same label as that used for the host object field you have just created.
    Field Name

    Automatically created. Leave the default value and add a prefix to indicate the host object for the field you have just created:

    E_ for Employment Record

    T_ for Team Member

    B_ for Bonus

    S_ for Salary

    For example, if the automatically created Field Name is:

    New_Team

    and New_team is related to the Team Member object, add the prefix T_ to create the Field Name:

    T_New_Team

    Field-Level Security for Profile Set the field permissions to make the field Visible, Read-Only, or hidden - by unchecking both Visible and Read-Only checkboxes - for each of the listed Profiles.
    Page Layout and Related List Set as required to define the visibility you want.
  9. Select Save to create the new text field.

  10. In the HR Request object details, select Field Sets.

  11. Select Combo Fields.

  12. Add the text field you created to the field set and select Save.

Next time you create a new request in WX the new field is included as a combo box.
